ZKTeco Attendance Not Syncing? 8 Common Causes and How to Fix Them
Missing punches, duplicate records, wrong times, or devices that won't connect: the 8 most common ZKTeco sync problems in factories, and how to fix each one.

ZKTeco devices are installed in factories all over Bangladesh. They are reliable machines, but when attendance data doesn't reach payroll correctly, the result is wrong salaries, angry workers on payday and failed audits. Here are the problems we see most often and how to fix them.
1. The device can't be reached on the network
Symptoms: The software shows the device as offline, or downloads time out.
Fixes:
Give every device a static IP address, or reserve its IP in your router. If the device gets a new IP from DHCP after a power cut, the software can't find it.
Make sure the device and the server are on the same network, or that routing between them is set up correctly.
Check that the communication port (4370 by default on most ZKTeco devices) isn't blocked by a firewall.
Use a proper network cable and switch. Long, damaged cables on the factory floor cause intermittent drops.
2. The device clock is wrong
Symptoms: Punches appear minutes or hours off, workers are marked late when they weren't, or night-shift punches land on the wrong date.
Fixes:
Sync device time from the server automatically every day, rather than setting it by hand.
Check the timezone setting on the device and the server (Bangladesh is UTC+6).
Replace the clock battery on older devices that lose time after power cuts.
3. Duplicate punches
Symptoms: A worker shows three punches within one minute, or overtime is calculated wrongly because of extra in/out records.
Fixes:
Set a duplicate-punch interval on the device so repeated scans within a few minutes are ignored.
Apply the same rule in your attendance software, so only the first punch in a window counts.
4. Missing punches
Symptoms: A worker insists they punched, but the record is missing.
Fixes:
Check whether the device's log memory is full. When it is, older or newer records can be lost depending on the model and settings.
Clear logs from the device only after you have confirmed they were downloaded and saved.
Check that the worker is enrolled on the device they actually used. Workers often use a different gate during rush hours.
5. Employee IDs don't match across devices
Symptoms: The same worker appears under two IDs, or punches from one gate don't link to their payroll record.
Fixes:
Use one master employee ID everywhere: in HR, payroll and every device.
Enroll fingerprints or faces once, then distribute templates to all devices from the software instead of enrolling separately at each machine.
When a worker leaves, remove them from every device, not just one.
6. Too many devices, too slow
Symptoms: Downloading from 20 or 30 devices takes ages, and data arrives late for payroll.
Fixes:
For large or multi-site factories, use push communication (ZKTeco's ADMS/cloud push), where devices send punches to the server as they happen, instead of the software pulling from each device one by one.
Schedule automatic downloads, rather than relying on someone to click "download" before payroll day.
7. Power cuts
Symptoms: Devices restart, lose settings, or have gaps in their records.
Fixes:
Put devices on a UPS or backup battery.
After outages, check the device clock (see problem 2) and its connection.
8. Mixed models and old firmware
Symptoms: Some devices work fine, others fail or send incomplete data.
Fixes:
Keep a list of every device's model and firmware version.
Update firmware carefully, testing on one device before rolling it out to all.
Confirm your attendance software supports every model you own.
A quick daily checklist
All devices online and showing the correct time
Yesterday's punches downloaded for every device
Exceptions (missing out-punch, duplicate, unknown ID) reviewed before payroll
Device log memory below capacity
Fix the problem once, not every payday
Most of these problems come from the gap between the attendance device and payroll. Octa Punch connects directly to ZKTeco devices, syncs time automatically, filters duplicates, flags missing punches as exceptions, and feeds clean data straight into overtime and salary calculations.
